These terms are between you and Bookahead Limited (“Bookahead”, “we”, “us” or “our”), registered in England and Wales with company number 17525675. They govern access to Bookahead’s websites, booking tools and business-management platform. By creating an account or using Bookahead, you agree to them. If you use Bookahead for an organisation, you confirm that you are authorised to bind that organisation.
1. The Bookahead service
Bookahead provides software that helps appointment-based businesses publish websites, manage services, availability, teams and customers, accept bookings, connect calendars and facilitate payments. Businesses remain responsible for the services they advertise and deliver.
2. Accounts and acceptable use
You must provide accurate information, keep login details secure and promptly notify us of suspected unauthorised access. You are responsible for activity by users you authorise.
You must not use Bookahead unlawfully; infringe another person’s rights; upload malicious code; probe or bypass security; misuse customer information; send unsolicited communications; impersonate others; or interfere with the service. We may restrict or suspend access where reasonably necessary to protect Bookahead, users or third parties.
3. Business responsibilities
Businesses using Bookahead are responsible for:
- the accuracy of services, prices, availability, locations, policies and website content;
- holding appropriate qualifications, licences, insurance and permissions;
- honouring bookings and complying with consumer, equality, privacy and other applicable laws;
- setting fair cancellation, deposit, no-show and refund policies and displaying them to customers;
- responding to customers and resolving complaints about the business’s services; and
- using customer information only for lawful business purposes.
4. Customer bookings
When a customer books, the service contract is between the customer and the relevant business. Bookahead supplies the technology but is not the provider of the appointment. The business controls service delivery, cancellations, refunds and disputes, subject to applicable law.
Before completing a booking, customers must review the price and any cancellation, deposit, saved-card or no-show terms shown for that appointment. Those booking-specific terms form part of the contract with the business and take precedence over any less specific description elsewhere.
5. Subscriptions and trial
Unless a different written offer applies, each new business account receives one 30-day free trial managed by Bookahead. No credit card or other payment method is required, no paid subscription is created during that trial, and nothing is charged automatically. At the end of the trial, access to the business platform, public website and booking service is suspended unless the business has started a paid subscription or Bookahead has granted a written exemption.
The current standard price is £10 per month for each active team member, including the business owner. Pending invitations are not charged. When you choose to start a paid subscription, the price and any applicable taxes are shown before confirmation, payment is due immediately and the subscription renews monthly until cancelled. You authorise Stripe to charge the payment method supplied. You can cancel before the next renewal through the available billing controls. Cancellation takes effect at the end of the paid billing period unless stated otherwise. Fees already charged are non-refundable except where required by law or expressly agreed.
We may change pricing on reasonable prior notice. A price change will not apply retrospectively.
6. Booking payments and Stripe
Online payments, deposits, saved payment methods and business payouts are processed by Stripe. Stripe’s own terms also apply. Bookahead and the business do not receive or store the complete card number or card security code. Businesses are responsible for their Stripe connected account, payout information, refunds, disputes, chargebacks and compliance with card-network rules. Bookahead does not guarantee that a payment or payout will be completed.
If a booking offers or requires a saved card, the customer will be shown a separate authorisation before the card is saved. That authorisation states whether a future charge is one-time or recurring, the circumstances in which it may be made and the maximum amount or method used to calculate it. Saving a card without accepting that authorisation does not permit a business to charge it.
Where the customer expressly agrees, a business may initiate one off-session charge for a missed appointment under the cancellation and no-show policy displayed during booking. The charge must not exceed the disclosed maximum, must be fair and proportionate to the business’s reasonably expected loss, and must take account of avoided costs and any opportunity to refill the appointment. A business must not recover the same loss twice through a deposit and a further fee.
Customers will be told when an off-session charge succeeds or fails and may be required by their bank to complete additional authentication. A customer who believes a charge is incorrect should contact the business promptly and may also use any rights available through their card issuer. Businesses must keep their policies accurate, apply them consistently and provide evidence reasonably required to resolve a complaint or payment dispute.
A business may record payments received outside Stripe, including cash, bank transfer or an external card terminal. These entries are bookkeeping records only: Bookahead does not receive, hold or transfer the corresponding funds. The business is responsible for checking that the payment was received, issuing any required receipt, and accurately recording corrections or refunds.
7. Content, domains and integrations
You retain ownership of content you upload. You grant Bookahead a non-exclusive licence to host, reproduce and display that content only as needed to provide and promote the configured service. You confirm you have the necessary rights to all uploaded content and connected domains.
If you ask Bookahead to register a domain, Bookahead arranges the registration through its registrar as your agent. You—not Bookahead—are the registered name holder. You must provide accurate owner and contact details, keep them current with the registrar, have the right to use the requested name, and accept the registrar’s terms shown before payment. Registration is not guaranteed until the registrar confirms it, even if a search result initially shows the domain as available.
The registration price, initial term, renewal price then available, and automatic-renewal choice are shown before payment. Once a registration succeeds, the registration charge is non-refundable except where required by law or the registrar agrees otherwise. New registrations are normally locked against transfer for the first 60 days. Registrar prices and registry rules may change. If automatic renewal is enabled, you authorise Bookahead to charge the saved payment method before expiry at the renewal price confirmed at that time. If payment, registration or renewal fails, the domain may expire or become unavailable.
Domains registered through Bookahead use the registrar’s nameservers so Bookahead can configure the website automatically. We will provide reasonable assistance if you later want to transfer an eligible domain away, subject to outstanding charges, identity checks, registry rules and any transfer lock. Ending your Bookahead subscription does not automatically cancel or transfer a separate domain registration.
Third-party services—including Stripe, Supabase, Google, Apple, Microsoft and domain providers—operate under their own terms. Integrations may be unavailable or change for reasons outside our control.
8. Availability and changes
We aim to provide a reliable service but do not promise uninterrupted or error-free operation. We may maintain, update, replace or discontinue features. Where practical, we will provide notice of material changes that adversely affect paying customers.
9. Intellectual property
Bookahead and its software, branding and documentation are owned by us or our licensors. Except for the limited right to use the service under these terms, no intellectual-property rights are transferred to you.
10. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to that, Bookahead is not responsible for a business’s services, customer conduct, indirect or consequential loss, loss of profit, revenue, goodwill or anticipated savings, or failures caused by third-party services or events beyond our reasonable control. For business users, our total liability relating to the service in any 12-month period is limited to the subscription fees paid to Bookahead during that period.
11. Ending use of Bookahead
You may stop using Bookahead and cancel your subscription at any time. We may suspend or terminate access for material or repeated breach, non-payment, legal requirements, security risks or harmful use. Where appropriate, we will give notice and a reasonable opportunity to remedy the issue.
12. Privacy
Our privacy policy explains how Bookahead handles personal information. Businesses must provide any additional privacy information required for their own customer processing.
13. Changes to these terms
We may update these terms to reflect product, legal or operational changes. We will publish the updated terms and give reasonable notice of material changes. Continuing to use the service after the effective date means the updated terms apply.
14. Governing law
These terms are governed by the laws of England and Wales. If you are a consumer, you retain any mandatory rights and may bring proceedings in the courts available under applicable consumer law. Business disputes are subject to the courts of England and Wales.
15. Contact
